Who's on a Subscription and how many meals do they need today? Have no fear, we've got some answers for you. 


To see active subscriptions for a particular date, go to Fulfillment Reports > Subscriptions Report. For each active subscription, you will see:

  • Subscription ID#, which you can click to see the customer's Subscriptions page and detailed settings.
  • Subscription Plan name.
  • Customer information, including name, email, and phone number.
  • Subscription Group name.
  • How many meals the customer should receive on this particular date.
  • How many meals have already been selected.
  • The last date that this customer has already paid for that they will receive meals for.

To manage a subscription, you can click on the ID# or navigate to the customer’s Subscription page by going to Admin Dashboard > Subscriptions > Click On the ID #

 

If a customer wants to change their subscription, you have 2 options.

Option 1 – Cancel the Subscription and have the customer sign up for a new one

  1. Click Cancel Auto Renew
  2. Select days you want to cancel: Select all remaining days in the customers’ plan. Otherwise, the customer will stay on the plan – and cannot sign up for a new one – until the end of the billing period. And, the meals they are subscribed for would stay on the reports for uncancelled dates.
  3. Either Refund to Digital Wallet directly from here, or see the article on other refund methods. The refund amount is up to you.
  4. Have the customer sign up for a new plan.


Option 2 – Edit the customer’s existing Subscription 

  1. It's quite common we hear clients tell us, "My customer wants to change from 3 days to 2 days," or, "I have a client that only wants Paleo meals," the list goes on. So how do you edit a plan once it's made? 
    • Global Settings (affects plan renewal, not the current plan)
      • Plan Categories - diet preferences or meal types meals must be categorized under
      • Portion Size - whether all meals must be a particular portion size, or any size to default to the smallest size, and pay upgrade prices to increase 
      • Days per Week / Delivery Days - how many days of food are being delivered each delivery date
      • Meals per Day / Categories per day - how many of each meal category will be received for each day of food
      • Buffer - the number of days before renewal on which the customer will be billed
      • Day to Renew - the day of the week a customer's plan will renew
    • Default Delivery Settings - pickup locations or delivery addresses
  2. Make sure to change the number for Rate to Charge for Plan (Fees Excluded), according to the new settings and number of meals customers are getting. You can also do this if you'd like to change a customer's recurring price, to apply a permanent discount.
  3. These changes will take effect at the next renewal. To change for remaining dates within the plan, you must edit those individual dates. 
    • So how do you edit a plan but just for ONE DAY
    • NOTE: If you only want to make changes to one date in the subscription, you can do so by clicking the date circle in the bottom section of the page, and changes you make here will only affect the day you are editing.
      • Number of Days to delivery - how many days of food are being delivered on this date
      • Portion Size - whether all meals must be a particular portion size, or any size to default to the smallest size, and pay upgrade prices to increase 
      • Meals Per Day / Categories per day - how many of each meal category will be received for each day of food
      • Plan Categories - diet preferences or meal types meals must be categorized under
      • Pause Day - see this article on what it means to pause or skip a delivery date.
      • Cancel Day - cancels this particular delivery date permanently, and selected meals will be refunded. 
      • Auto-Choose Day - once meal selections are closed, you can automatically choose meals for an individual customer's subscription if necessary
      • Manually Choose a Meal - click a blue button to manually Choose New Included Meal or a red button to add a New NOT INCLUDED Meal that will be charged as an extra meal.
      • Refund a selected meal by clicking the Refund button in the Actions column. Once you confirm the refund, there will be an action button that will allow you to Choose New Included Meal to replace it.
      • Once you've chosen all your meals you will be prompted with a popup to checkout and complete the order. Once you have completed your customer's order, your reports will be updated.

    • If you changed the structure in a way that would change the customer's pricing structure, eg meals per day, categories per day, you would then have to refund or charge separately. See this article on how to do so.
